Events and Marketing Manager

Art Outreach is looking for a dynamic Events and Marketing Manager to oversee the management of Art Outreach’s IMPART Awards programme, an exciting new initiative to support local visual artists and curators in providing impactful career building opportunities through residency and mentoring programmes.

The Events and Marketing Manager will oversee the project management of all aspects of the programme, including assisting in the open call application process for the Awards, an art collectors’ exhibition, gala dinner and public outreach programmes throughout the year.

This is a new Initiative for Art Outreach to build capacity among our Art community as well as fostering and nurturing emerging talent. It is a hands-on position where you will play a key role with our team, stakeholders and vendors to make it happen.

It will appeal to a person who can think outside the box and manage and coordinate multiple tasks and activities in developing a successful event. (arts background not necessary)

Main duties and responsibilities

This is a varied role and you will need to be flexible and willing to take on a range of tasks.

1.    Event Management

  • Oversees, organises, plans, manages, and executes all IMPART events
  • Executes events overseeing all event staff, managing all event elements from beginning to end day of; set-up, run of show, volunteers, vendors, flow, and breakdown
  • Establish project goals and production schedules. Creates and manages all timelines, floorplans, table charts, seating, run of show, rehearsal schedule, revenue tracking, and other needed documents.
  • Works with Art Outreach Board and IMPART Advisory Council to ensure all needs are met and kept to their standards.
  • Attends and manages all event related meetings internally and externally.
  • Oversees event recapping and collects all payments and pays all needed vendors.
  • Runs event debriefs from staff, board members, and events team.
  • Manages overall event budget ensuing all events keep costs low and aim to meet targeted ROI.
  • Contracts, manages and monitors project team and other personnel, including any volunteers to ensure all tasks are met and done in a timely manner.
  • Sources and negotiates with vendors and suppliers, ensuring best possible quotations and smooth delivery of services.
  • Manage evaluation and project reporting for grants obtained.

2.    Marketing

  • Oversees the marketing, promotion and media outreach for the project through developing a dynamic marketing plan together with Art Outreach Communications staff.
  • Creates all sponsorship materials and works with the Art Outreach Board and IMPART Advisory Council to secure sponsorships and ensures agreements are met for events.
  • Develops strong public and targeted awareness of the IMPART Programmes (e.g. engagement with arts institutions).



  • Educated to degree level, or equivalent


Skills and Knowledge

  • Able to develop audience lists and accurate marketing emails to engage new and existing audiences with our events programme
  • Ability to prioritise workload to ensure that events and marketing responsibilities are fulfilled when working within a busy team environment
  • Efficient and calm when working under pressure on a variety of tasks simultaneously, to tight deadlines
  • Ability to solve problems constructively and propose practical ways ahead when faced with difficulties
  • Ability to absorb, analyse and impart information quickly
  • Sharp focus on attention to detail and ensuring technical accuracy when updating documents, both online and offline
  • Excellent written and verbal communications skills, including accurate use of English and the ability to proof materials for sense and accuracy
  • IT literacy – knowledge of Word, Excel and PowerPoint are essential for producing reports, schedules and presentations. Knowledge of working with databases is highly desirable. An understanding of marketing and events management tools such as Mailchimp and Peatix is desirable but not essential, although the postholder will quickly be required to become proficient in using these tools.


Contract Term

One year contract, open for renewal or transition into a permanent position at the end of the contract period.
