Events and Marketing Assistant

Art Outreach is looking for a dynamic Events and Marketing Assistant to support the management of Art Outreach’s IMPART Awards programme, an exciting new initiative to support local visual artists and curators in providing impactful career building opportunities through residency and mentoring programmes.

The Events and Marketing Assistant will provide administrative and project management support towards all aspects of the programme, including assisting in the open call application process for the Awards, an art collectors’ exhibition, gala dinner and public outreach programmes throughout the year.

This is a new Initiative for Art Outreach to build capacity among our Art community as well as fostering and nurturing emerging talent. It is a hands-on position where you will play a key role with our team, stakeholders and vendors to make it happen.

It will appeal to a person who can think outside the box and manage and coordinate multiple tasks and activities in developing a successful event. (arts background not necessary)

Main Duties and Responsibilities

This is a varied role and you will need to be flexible and willing to take on a range of tasks.

1.    Event Management

To assist the Events and Marketing Manager by:

  • Providing support to the Events and Marketing Manager on the day of an event and in the immediate lead up to an event
  • Preparing and sending the internal events updates (e.g. project timelines, floorplans, table charts, seating, run of show, rehearsal schedule, revenue tracking, and other needed documents)
  • Sourcing and liasing with vendors and suppliers, ensuring best possible quotations and smooth delivery of services
  • Being the first point of contact and responding to enquiries from event attendees in an appropriate and timely manner
  • Managing payments and being the key liaison with the finance administrator
  • Preparing documentation required for evaluation and project reporting for grants obtained.

2.    Marketing

To assist the Events and Marketing Manager by:

  • Maintaining and regularly updating the event pages on Art Outreach’s website
  • Preparing high-quality marketing materials, including writing copy for online and off line materials to promote our events
  • Assisting in producing digital marketing campaigns for our events and helping to keep our contacts database up-to-date
  • Posting relevant events updates via our social media channels
  • Supporting the monitoring and evaluation of our marketing activity, using Google Analytics and other packages
  • Keeping up to date with the latest digital marketing platforms.

3.    Programme Administration

To assist the event team by:

  • Providing administrative support towards the Open Call for IMPART Awards and application submission process
  • Supporting liaison with the Judging Panel and Advisory Council assembled for the IMPART Awards
  • Undertaking general administrative tasks (e.g. maintaining adequate filing systems).

 

Qualifications

  • Educated to degree level, or equivalent

 

Skills and Knowledge 

  • Able to develop audience lists and accurate marketing emails to engage new and existing audiences with our events programme
  • Ability to prioritise workload to ensure that events and marketing responsibilities are fulfilled when working within a busy team environment
  • Efficient and calm when working under pressure on a variety of tasks simultaneously, to tight deadlines
  • Ability to solve problems constructively and propose practical ways ahead when faced with difficulties
  • Ability to absorb, analyse and impart information quickly
  • Sharp focus on attention to detail and ensuring technical accuracy when updating documents, both online and offline
  • Excellent written and verbal communications skills, including accurate use of English and the ability to proof materials for sense and accuracy
  • IT literacy – knowledge of Word, Excel and PowerPoint are essential for producing reports, schedules and presentations. Knowledge of working with databases is highly desirable. An understanding of marketing and events management tools such as Mailchimp and Peatix is desirable but not essential, although the postholder will quickly be required to become proficient in using these tools.

 

Contract Term

One year contract, open for renewal or transition into a permanent position at the end of the contract period.
